Volunteer Form


  • Marketing team

This team will be assisting Event Coordinator/ Director with marketing Night to Shine to all local high schools, organizations or groups that serve people with special needs to invite them to register for the event. They can visit the Guest Registration tab under “Night to Shine” on this site . This team is also responsible for reaching out to local businesses that might be interested in providing sponsorship
                    -Also assist with event Tear-Down

  • Volunteer check-in team: 

This team consists of Set-Up for the event, and CHECK-IN for all volunteers, Vendor Relations (DJ, flowers, Hair/Makeup, photographers, videographers, and food service).

  •  Set-Up- Arrive at designated time and execute event set up, connect with DJ, audio/visual, activity and parking teams to ensure best possible layout.
  • Volunteer Check-In- Greet volunteers, give them name badges and direct them to team leader
  • Food- assist caterer with unloading food in main space and respite room

                  -Also assist with event Tear-Down

  • Red Carpet Team– Paparazzi, Transportation/ Parking

This team assists guests as they make their way down the red carpet, manage flow of traffic and cheer them on to make them feel welcomed.

  • Paparazzi: Take photographs and treat participants like honored guests and celebrities
  • Transportation: Assist guests as they exit the vehicles and help them find registration area. Be available as guests return to their vehicles following the event.
  • Parking: Maintain a parking pattern and direct traffic for easy vehicle entry and exit

                   -Also assist with event Tear-Down

  • Welcome Team– Guest registration, coat check, Buddy team (Gift takeaway team)

This team welcomes guests when they arrive and help them find their way to the main event space, activities and restrooms.

  • Guest Registration: Warmly greet guests as they arrive, and sign them in
  • Coat Check: Greet guests, take coats, label them and hang them. As guests leave, ask for their names and retrieve their coats.
  • Buddy Team: Accompany and assist assigned guest throughout the evening, providing companionship and any assistance they may need during the event. Sit with their guest during dinner and engage with them in conversation. We recommend buddies be at least 16 years of age or older.
  • Gift Takeaway team: Manage gifts and help each guest collect their favors to take home

                   -Also assist with event Tear-Down

  • Entertainment Team– Activities team, Dance floor

This team sets up and participates in any additional activities, including karaoke, with the guests. Encourage them and maintain a fun atmosphere. Monitor the dance floor and perimeter to make sure there are no “wallflowers”. Invite them to dance and engage with them.
                   -Also assist with event Tear-Down

  • Respite Room/ Sensory Room team/ Bathroom team

This team will be responsible for setting up and providing a respite room for any parents or caretakers that wish to stay for the event.

  • Respite Room: Love on the parents/ caretakers by serving food, spending time getting to know them and being available to pray with them
  • Sensory Room: Spend time with guests who may have become over-stimulated on the dance floor or in other areas of the prom. Interact with them by singing, participating in sensory activities or simply providing them with some quiet time.
  • Bathroom: help guests find the restrooms and offer assistance in the restroom if needed. If a guests needs more help than getting in and out of a stall or hand washing, it’s best to contact their parent/caretaker

                  -Also assist with event Tear-Down

  • Safety/ Security Team/ Medical/ Law enforcement
    • Safety: Walk around and monitor the main event space and outdoor areas, making sure exits are not blocked and all areas remain wheelchair accessible
    • Security: Support on-site uniformed Law Enforcement personnel by ensuring a safe and secure environment for guests and volunteers.
    • Medical: Assist uniformed professional EMT personnel at the event by providing basic first aid and care for medical needs and emergencies

                    -Also assist with event Tear-Down
